We are a firm of chartered accountants looking to recruit a secretary/receptionist to greet visitors and provide secretarial and administrative support to the team in the office.


- Man reception desk, greet clients/visitors

- Answer telephone and direct calls appropriately, take messages

- Dealing with telephone and email/website enquiries, including online chat

- Copy typing of correspondence and documents, presentations, reports

- Generating letters from client database - Scanning of email attachments

- Generating out-going emails - Monitoring incoming emails, storing on network and distributing to staff

- Logging and distributing incoming post when required

- Preparing and franking outgoing post

- Operate a variety of standard office machines, including a personal computer plus a variety of computer software, phone, fax, calculator, shredding, photocopy and franking machines

- Photocopying, binding documents

- Make tea and coffee for visitors

- Maintain spreadsheets and databases

- Booking meeting rooms

- Keeping diaries and making appointment

- Arranging meetings, taking minutes and keeping notes when required

- Arranging travel, accommodation and staff entertainment

- Maintaining books and records spreadsheet and ensuring its accuracy

- Logging books and records received/returned to/from client

- Chasing clients to collect records

- Chasing clients to bring records in

- Generating company annual returns for Companies House

- Maintaining list of annual returns sent out

- Chasing clients for approval of annual returns

- Sending out personal tax return reminders

- Monitoring receipt of signed copies of tax returns/accounts

- Monitoring client approval of draft accounts

- Generating letters of engagement for partner approval

- Updating systems with client terms of engagement

- Updating letters of engagement templates

- Assisting Office Manager with generating reports, spreadsheets , updating databases and other duties as required

- Create Powerpoint presentations for seminars

- Arrange client seminars

- Attend and host client seminars

- Arrange internal courses, produce course notes

- Sorting filing into client and file order ready for filing

- Filing in the appropriate files, making files and slings

- Any other duties which may be reasonably required


Excellent Word skills Outlook Excel Powerpoint Polite and effecient telephone manner
