ENGIE are recruiting for an Assistant Transport Officer to be based in Origin 2, 2 Origin Way, Europarc, Grimsby, North East Lincolnshire DN37 9TZ. This is a fixed term contract (until September 2017) full time role (working 37.5 hours per week) and on offer will be a salary of £16,000 to £18,000 per annum. This role will report into the Total Transport Project Manager. The main duties and responsibilities are: Responsible for dealing with internal and external customers and responding to a broad range of enquiries, e.g. Total Transport Project Partners To provide a welcoming customer service function, and maintain a polite and professional manner at all times. To take ownership of customer enquiries, and to resolve most telephone and other (e.g. electronic) enquiries for services with minimal assistance To arrange for customers to receive specialist advice if needed, and to contact Engie departments, NELC departments and other agencies To communicate with, and deal with enquiries from, the general public, all stakeholders including internal stakeholders. Ability to adapt customer liaison and interpersonal relationship style to deal effectively, fairly and equitably with service users with differing approaches and requirements. The concerns raised by stakeholders may not be completely straightforward and may on occasions involve delivering difficult messages Be able to manage difficult situations and be polite and professional if difficult or potentially abusive situations arise To be able to recognise and act sensitively in cases of potential risk or high priority Assist with printing documentation, data input and collation to support the Transport Team Process incoming correspondence at all levels and maintain a log of transport related e.g. formal Customer Requests. Track progress and ensure response is within prescribed timescales Use of communication methods that demonstrate an appropriate and effective choice of style, language and content to meet the needs of the target audience. In addition, the postholder will be expected to understand the messages being communicated to them from different stakeholders Process invoices and monthly accounts, maintain budgetary records and assist in the preparation of monthly and other financial reporting Collect and log relevant KPI & PI data and other performance or monitoring related data Preparing meeting invites (Microsoft Outlook), booking meeting rooms and effective minute taking To ensure effective and efficient input to recording systems, and assist in the development and promotion of new and existing Information Technology systems Support senior managers in contributing to the development, maintenance and organisational/overall understanding of the services provided by the team e.g. Total Transport Project To carry out duties in accordance with Engie policies and procedures Ensure compliance with service user confidentiality, data protection and other statutory provisions relevant to the role Maintain records and electronic filing systems to ensure the integrity of all service related data and audit trails, and the prompt and accurate retrieval of information Embrace new technologies to improve systems, processes and ways of working Assist in work familiarisation of colleagues and new recruits including advice and guidance on how allocated and new resources may most effectively be used Be prepared to work flexibly to meet business needs Carry out other duties and responsibilities of a similar nature and at a similar level of responsibility to those described, which may be allocated from time to time to meet service delivery needs Commitment to continuous personal development and embrace learning and development opportunities. Actively seek feedback on own performance and opportunities for improvement identified Qualifications Essential Qualifications / Courses Minimum GCSE Grade C and above in Maths and English (or equivalent) Level 1 Certificate for IT users (or equivalent) Post holder should be able to create spread sheets using Excel, filter and manipulate data. Should also be competent with MS word and MS outlook. Good written, verbal and communication skills Ability to plan and organise work effectively Experience of dealing with difficult customers Desirable Qualifications / Courses Experience in a customer service role Experience of dealing with sensitive data Experience of Minute taking Knowledge of the Transport Sector For this role you must have evidence of right to work in the UK.
