As part of the continuing evolution of Global IT Service Delivery and re-organised PMO, an exciting opportunity has arisen within the Portfolio & Project Control area. We are looking for a pro-active, collaborative and customer focused manager to lead the Project Control function through its ongoing development to support the evolving needs of the Global Express business. This role will appeal to managers who enjoy creating, driving and delivering change and includes line management for a team of analyst/senior analysts and extensive stakeholder management within Service Delivery, Global IT and beyond. The essential elements of the role include: Team leadership; Departmental Evolution and ensuring the successful delivery of Project Control Services: Project Accounting (& Clarity); Documentation, Methods & Templates; Governance; Reporting; Project Health Checks & Support; On-boarding & Training. More specific details of the role are shown below along with desired skills and experience. Due to the evolving nature of the departments role a focus on people & leadership, along with appropriate behaviours are more important than detailed “technical” PMO/Project Control knowledge. Main Roles and Responsibilities · Project Financial Administration ; Management and assurance of all aspects of project accounting and financial management, ensuring that every project has a Financial Plan and that projects are executed in line with TNT financial standards & controls and audit requirements, specifically: · Project Accounting and Financial Reporting: is the first point of contact in Project Delivery for the TNT Finance team - provides monthly updates on capex and opex performance and works with Portfolio Management, Project and Programme Managers to reconcile allocated budgets across assigned projects and delivery activities. · Project Financial Processes: ensures that agreed end-to-end financial processes for project execution are in place and followed. Supports Project and Programme Managers, and provides a first point of contact for GIT Vendor Service Management and TNT Commercial teams, in the execution of project financial processes including contract management, Project Work Orders, Purchase Orders, Receipting and Invoicing. · Administration of Project Resource Allocation & Utilisation, actively maintains a consolidated view of current, forecast and historic project resource allocation and utilisation. · Administration and Audit of Project Planning, Stage Gate Management and Control Documents: supports project and programme managers in the creation of project delivery plans and administers the stage gate management process, including validation of control documents and key project data. · Clarity PPM ; responsible for the internal GIT adoption, use, management and optimisation of Clarity PPM tool and of other project administration tools and processes as appropriate. · Project Delivery Status Reporting: provides frequent (typically fortnightly) updates on Project Delivery Status. Supports Heads of Project Delivery and Portfolio management in providing an accurate and current view of key project activities, including tracking of RAG status, delivery dates (to Production etc) and of forecast stage gate transitions, · Project Data Management: is responsible forensuring that all project financial and planning data is current and correct. Works with Project and Programme Managers to resolve data quality issues and escalates persistent and chronic data issues for action as required. · Project Estimates and Lessons Learned: Maintains a database of project estimates and ensures that information gained from actual experience (i.e. Lessons Learned etc.) is incorporated into the database to ensure future estimates reflect real world experience. · Administration of Project Change Control: is responsible for ensuring thatproject change control processes (in particular for financial and schedule data) are followed and that Changes are implemented in a controlled, agreed and traceable manner. · Demand Management; Supports Heads of Project Delivery and Portfolio Management, and other Project Delivery roles, in managing demand requests and resource forecasting, liaising with BRM, Business Analysis and Architecture as required. · Vendor Management; supports GIT Vendor Service Management and TNT Commercial teams in the management of Vendor relationships. · Solutions Delivery Management: supportsSolutions Delivery Management and specifically Change Delivery Management as required. Main Skills and Experiences Required · Excellent team player with positive ‘can-do’ attitude with an eye for detail and a strong focus on quality. · Excellent experience in project financial management and administration. · Knowledgeable in the effective use of Project and Financial Administration Tools, including Clarity PPM, SAP etc. · Knowledge and experience of working in stage-gate project delivery environments and of working both with waterfall and agile delivery approaches. · Previous experience in managing project delivery activities is desirable e.g. as project manager · Strong analytical and problem solving abilities · Excellent communication skills; both written and verbal. · Effective leadership skills – removes barriers to progress and creates a facilitative and supportive working environment. · Knowledge of (and ideally having at least one qualification in) Programme and Project Delivery methodologies, including Managing Successful Programmes (MSP), PRINCE2, DSDM, SCRUM, XP etc · Ideally more than 10 years experience working in related IT-oriented project delivery environments with 3-5 years working in programme management. · Understanding of Portfolio Management and Programme Management Office functions. · Good level of knowledge of technology delivery, including systems integration and testing. · Good understanding of requirements definition and architecture design processes and documents. · Good understanding of Service Management, Service Introduction and Business Implementation. · Basic but broad understanding of key business functions such as Digital, Product Marketing, Finance, Business Intelligence functions and of the Logistics Industry.
