Project Resourcing Co-ordinator Newport £25,500 - £26,500 My client is a national organisation, delivering a comprehensive and flexible range of property services, tailored to meet the needs of both public and private sector clients across the UK. The companies within the business are wholly owned by the public sector, with partner authorities enjoying a share in the companies' success. The business is directed from our head office in Norwich supported by a team of strategic managers. They offer local delivery supported by national capability, with client services managed and delivered from there network of offices. Reporting Arrangements and Main Contacts The post holder will report to the Property Services Manager. Main Tasks and Accountabilities The Project Resourcing Co-ordinator will carry out a range of functions to include the following:- 1. Develop a robust and effective Resource Management System for all technical staff and teams at Newport Norse specifically to ensure that all technical staff and Team Leaders can effectively monitor staff workload and capacity. 2. Liaise with the Team Leaders to monitor project commission's allocations and project initiation. 3. Calculate professional fees and monitor internal cost progress by obtaining project update information from the appropriate contacts. 4. Liaise and report weekly/monthly with Team Leaders to ensure technical staff resourcing and output is accurate and effectively managed. 5. Provide accurate resourcing and forecasting reports to Team Leaders, Property Services Manager and Managing Director. 6. In connection with resource planning - provide information in relation to Project Income Profiling throughout each financial period of the year including intercompany consultants. Full liaison with the local Management Accountant, the Property Services Manager and the Managing Director on a weekly/monthly basis. 7. Provide support and undertake the closure of project final accounts on a regular basis relating to Newport Norse. 8. Provide assistance to the Managing Director and Property Services Manager where necessary in relation to formatting and submitting PQQ's, Tenders and Fee Proposals. 9. Support the delivery of Quality and Performance Management within Newport Norse to ensure compliance with company business management system though regular monitoring, internal audits and self-assessment checks. 10. To provide an occasional degree of cover in relation to minute taking, typing of letters, reports, telephone calls, Reception cover on an occasional basis. 11. Analyse and compile key metrics for Strategic Property team to support Director of Design and Maintenance in improving productivity and performance. 12. Analysis of profitability for Strategic Property team and also by jobs to maximise opportunities. 13. Help develop QMS system and instigate formal gateway/RIBA stage signoff protocols and through process audits feedback to Property Services Manager on variance. 14. Assist Property Services Manager in accounts reporting on PSR's, timesheet control, jobs set to make a loss, WIP, Job Coding, and other reporting as required by the Property Services Manager. 15. Support commercial bidding and Design and Maintenance CRM activity. 16. Provide tender returns and fee analysis. 17. To ensure the implementation and compliance of all the clients policies, procedures and guidelines. 18. Comply with the business policies, procedures and guidelines including the business Health and Safety Policy. 19. To ensure that customer requirements are identified and agreed with the client. 20. To ensure/contribute/lead on the delivery of quality assured, client focused products and services to meet the agreed requirements of the customer. 21. To contribute to the operation and development of the Business Management System to ensure the continuous improvement of quality assured services/products for clients. 22. To carry out other duties appropriate to the level and character of the post. 23. To make visits to other offices when required. Key Result Areas The post holder will be expected to: 1. Develop a robust and effective Resource Management process for Newport Norse. 2. Manage report and monitor all technical staff resource' plans. 3. Provide timely and accurate reports to management staff and the Managing Director in relation to resource capacity forward planning and forecasting. 4.
