Overview of role: To effectively manage the Audit Department and its team. Promote continuous improvement in raising and maintaining audit and compliance standards across the organisation ensuring an error rate of below 5% on documentation. Implement an audit schedule which covers the internal and external requirements of our funded contracts and manage the audit process nationally across all centres. Provide monthly management reports highlighting the level of compliance and any risks to funding. Complete the audit process by identifying any training needs and coach in best practice within operations. In addition you are required to manage the development and implementation of the learner support process and embed them within the operation along with safeguarding and Equality and Diversisity. Key Result Areas: · Provide a schedule of Audits · Manage and report on monthly all internal and external financial compliance audits · Provide a yearly audit for each partners activity · Provide Quality Audits in relation o Compliance and completion of paperwork quality o Visits types and there frequency and proof of visits carried out o Programme aims – qualifications - Objectives and the ILR Sub-aims o Exemptions o Contract funding codes o Proportion of funding Length of stay Timely Terminations and Claw-back Main Responsibilities: · Retain full and up to date awareness of Government Funding Guidance · Liaise with external bodies in relation to external audit · During audits ensure that learner file management / processes / content to meet SFA requirements · Agree and manage follow up audits Conduct follow up audits – identifying common errors / training needs / good practice · Provide the Director of Training and Quality Manager with a monthly report on Audits/Archiving · Archiving – Oversee a large archiving project to ensure the effective transition of learner and employer files for the last 12 years by contract and region in line with SFA requirements to an external data storage organisation and implement the system across the organisation through effective training and support. · Input into and support the development of key learner process · Provide staff training, where required, on funding guidance and audit compliance · Be responsible for regular (monthly) DSAT meetings and report checks.Safeguarding Data Self Assessment Toolkit (DSAT) interrogation, work with Contracts Performance Team to ensure proper use and provision of Key Reports · Work with the Director of Training and Head of Quality to ensure all paperwork and procedures are compliant with funding rules, data services and Oftsed · Work with colleagues to embed the learner support processes and procedures · Work with colleagues to develop relevant policies and procedures for claiming and monitoring for audit purposes the drawing down of funding for Learner Support (LS) identification / inputting / support ensuring that we are managing the process for recording of LS meets the strict guidelines set by SFA · Support the embedding of legislative aspects of equality and diversity, safeguarding and health and safety and Environmental policies.Issue of Hot Topics to all staff and Subcontractors · Ensure that each learner is getting regular visits to ensure that the cash drawn down in relation to the learners meets with SFA rules and guidelines · Undertake the Role of Company Safeguarding Officer Effective teamwork · Contribute to own and team performance. · Contribute to the wider operational aims of the company, including Equality and Diversity, and Health and Safety and Environmental policies Liaison, co-ordination and development · Liaison with other staff as appropriate in the continuous development of the organisation. · Liaison and co-ordination with all internal departments, via line/Senior Managers, to support activities and development as appropriate. · Liaison and assistance in the preparation for inspections by Ofsted and other audit teams. Business focused self-development · Take responsibility for self-development in line with the organisations operations and strategic objectives. · To present and conduct yourself in a diligence and professional manner to learners and to promote the company at all times. Safeguarding of learners · The individual must be prepared to undertake a Criminal Records Bureau check and disclose it to the employer if requested. · Application of the company’s safeguarding policy and procedures.
