Secretarial Team Leader - Solicitor's Firm - North Surrey

£35,000 + Benefits

Well established, Legal 500 law firm in Surrey are seeking a Secretarial Manager to oversee the Secretarial/PA department, Document Production team and Administration team.

The key areas of involvement will be:

- Performance management
- Staff supervision
- Work flow co-ordination
- Management Reporting
- Quality Standards
- Business Process Improvement

General responsibilities:

- Communicate management messages accurately and positively
- Liaise with the Practice Manager and fee earners in respect to ongoing departmental requirements
- In association with the Human Resources Department, assist in the recruitment of new team members
- Ensure new staff receive a full induction, are fully trained in their role and are successfully integrated into the team
- Manage all aspects of service and workflow and continually look for ways in which improvements may be made
- Directly supervise Personal Assistants performance including giving regular feedback and undertaking annual appraisals
- Manage the staffing resource available to ensure that the most effective use of the support team is made
- Ensure absence is managed effectively, completing return to work meetings where necessary and monitor timekeeping
- Monitor and ensure staff compliance with established procedures i.e. operational process, quality control procedures, conduct, performance and attendance
- Liaise with the Human Resources Manager to ensure all personnel files including employment applications, emergency contact forms, benefit selection, attendance records and disciplinary records are up to date
- Identify staff training needs and coordinate their training to ensure a consistent high standard of service to both clients and internal departments
- Ensure adequate cover in the departments at all times and reallocate resources where necessary
- Immediately raise any Health and Safety concerns to the Practice Support Officer
- Maintain reports and compile data in relation to service provision
- Work with the Practice Manager on developing and maintaining excellence within the teams
- Work with the Practice Manager to seek out opportunities to improve the service and add more value, and develop proposals
- Assisting others in the department whenever there is spare capacity or it is evident that a colleague needs assistance with their workload
- Providing specific PA or document production cover in times of absence and/or high work load

Desired skills and experience:

- Previous secretarial or administration experience within a law or professional services environment is essential
- Previous supervisory experience preferably within a law or professional services environment is highly desirable
- Excellent communication, both verbally and in writing, together with strong organisational skills and the ability to work as part of a team
- Ability to build confidence, trust and respect with others in a very short timescale
- Strong IT skills with an excellent working knowledge of Microsoft Word, Excel and Outlook
- The right candidate will be an organised, enthusiastic and efficient worker with the ability to multi-task
- A flexible attitude to work and the ability to adapt to working with different departments and with different personnel is essential

Hours of work are Monday-Thursday 8.30am - 5.15pm and Friday 8.30am -5pm.
