Archiving/File Management Specialist Assistant - North Surrey
£18,000 + Benefits

Well established, Legal 500 law firm in Surrey are seeking an Archiving Specialist Assistant to maintain the large archiving department which supports all departments within the firm.


- Collect files from all departments and return to the File Archiving area
- Check that all necessary internal administration has been completed and no monies or work in progress are outstanding so the file is ready to be archived
- Return any files not ready for archiving to the department with a note explaining why it has been returned
- Close matters/files on the firm's systems, using the firm's file closing procedures and adding notes when required
- Manually archive any additional files and adding notes where required
- Organise archived files in boxes and prepare boxes for collection by the firm's external storage provider
- Scan original documents on files e.g. Wills and save to an appropriate location to be accessible by fee earners
- Ensure that the movement of files is correctly logged to ascertain the location of a file at all times
- Liaise with the firm's post room staff to arrange distribution of requested archive files/boxes
- Review a large volume of archived documentation, with the aim to destroy those that are no longer required
- Complete file destruction schedules where appropriate and destroying files as per the firm's destruction policy
- Retrieving and returning documents and files from the firm's external storage provider
- Logging all enquiries for file retrieval requests and liaising with the firm's external storage provider to ensure timely delivery of files
- Be the primary point of contact with the firm's external storage provider and liaising with them in respect to all aspects of the firm's archived files including querying bills where appropriate
- Keeping archive records up to date and making the records more accessible, including enhancing existing spreadsheets / databases
- Train other members of staff in the firm's archiving procedures
- Write a training manual / file archiving guide covering all aspects and procedures involved in the file archiving and retrieval process

Desired skills and experience:

- Archiving/File Management experience.
- Ideally experience working within a law firm.
- IT literate - Microsoft Word / Excel / Outlook / Case Management

Hours of work are Monday-Friday 9am - 5.30pm.
