This not-for-profit organisation is looking to a recruit three administrators to work as part of the Governance and Legal team. The post holders will support the Governance and Legal Unit and the Executive Director - Governance, Membership & Party Services, by responding to specific queries by phone and email, undertaking individual projects as and when they arise, and will contribute to the smooth running and efficiency of the department by providing administrative support.

Please note two of these posts are permanent and one post is a 12 month fixed term contract.

Specific responsibilities:

- Ensuring good record keeping and maintenance of office filing systems, including remote storage and the accurate filing of donation records and legal handbooks.
- Maintenance of electronic databases for various functions.
- Ensuring relevant SLAs for various functions are met, ensuring colleagues have the relevant information to meet SLAs, and drafting correspondence as required.
- General administration such as photocopying, scanning and emailing documents as required by the department.
- Dealing with general telephone and email queries and working with membership team and other units as required to implement systems for responding to member queries.
- Raising purchase orders, administering expenses and co-ordinating travel bookings for members of the Governance and Legal Unit.
- Providing administrative support related to internal ballots and elections.
- Providing meeting support for a wide range of weekly, monthly and bi-monthly meetings including assisting with booking meetings and co-ordinating diaries and with collating briefings and papers for meetings.
- Preparing papers, chasing deadlines, proof reading and layout, uploading papers to Reprographics for hard copy mailings, copying/circulating papers.
- Taking minutes as required and assisting in follow up actions from meetings.
- Providing support to the Governance and Legal Unit at annual conference and other events.
- To carry out any other duties as requested by the Director of Governance and Legal Unit. The post holder may also be required to assist at by-elections.

The successful candidate will have excellent attention to detail and administrative skills, experience dealing with enquiries, the ability to work proactively with a variety of stakeholders, and the ability to manage competing work priorities.
