JOB TITLE: Senior School Office Administrator

SALARY & BENEFITS: The pro-rata annual salary will be £14,910 to include holiday pay.

WORKING HOURS: This is a part-time, year round role, from 9.30am – 3.00pm, Monday to Friday, with a 30 minute unpaid lunch break. There will be the opportunity to work extra hours at busy times.

THE COMPANY: We are currently working with a leading co-educational school located in the historic heart of Portsmouth.

An experienced and well organised administrator is sought to join the School Office and provide effective and reliable administrative support to the teaching staff.

This is a busy and varied role, reporting to the School Office Manager. Exceptional communication skills are essential, together with the ability to prioritise and work accurately with attention to detail.

THE ROLE: Senior School Office Administrator- Portsmouth
The post holder will give effective and reliable support to the teaching staff of the Senior School (the Senior School Common Room) and report to the School Office Manager. Duties would include those outlined below and any other tasks that may reasonably be required to help the smooth operation of the School Office

Key duties/responsibilities of a Senior School Office Administrator to include:-
  • Provide administrative support to the Senior School Common Room
  • Typing of letters and correspondence in House style ready for distribution
  • Assist with filing of school documentation on a daily basis
  • Oversee Pupil File process which includes creating files, archiving files, filing examination certificates, filing correspondence within 48 hours
  • Attend weekly Common Room meetings, write minutes and email to all staff
  • Manage the after-school detention process in liaison with the Second Master including typing letters to parents and logging sanctions on Schoolbase
  • Assist the Examination Team with posting coursework and taking delivery of exam papers
  • Assist with any other reasonable requests made by the Deputy Head (Co-Curriculum and External Relations), the Second Master or the School Office Manager

THE CANDIDATE: Senior School Office Administrator- Portsmouth

The successful candidates must be flexible, with the ability to prioritise a busy workload and work accurately with attention to detail. IT proficiency is required and experience of using databases would be advantageous. Excellent communication skills and a commitment to a strong customer service ethos are essential
