Care experience is a must, ideally a step up for a Field Care Supervisor, with experience of coordinating and using a rostering system, ideally Webroster is a bonus.

The Care Coordinator is responsible for providing full administrative support for the office team. Ensuring the continuity of service and the full management of the company rostering for the care team using Webroster, to include risk management and quality monitoring.

As Care Coordinator, you would be the first port of call for staff and field care supervisors out in the community. You would be liaising with clients, district nurses and other professionals.

Your role is to provide full administrative support for the office team ensuring the company remains organised with its key documents. To manage the arrangement of care and support staff provision for service users, within their own homes, in the community. You will be expected to take responsibility with arranging and communicating staffing resource in order to effectively meet the needs of our customers, managing the referral process, conducting interviews of Care and Support staff and inducting new starts. Your working hours will involve care and will comprise of out of hours support.

Coordination:

  • Rostering care calls, staff and clients onto software
  • Book in new clients, establishing times and communicating to all persons involved
  • On-call

Customer and Staff support:

  • Manage telephone calls as primary point of contact
  • Accepting packages on the e brokerage system based on staff capacity
  • Organising office diary, appointments, meetings
  • Printing of key documents for staff and clients
  • Managing PPE stock control
  • Point of contact for issues and complaints
  • Maintain a thorough record of all telephone conversations and correspondence
  • To carry out office and staff inspections
  • To complete audits of client and employee paperwork
  • To continually monitor the office and ensure that the agency is prepared for CQC inspections
  • Point of contact for issues and complaints

HR & Training:

  • Ensure all team members are appropriately trained and shadowing completed
  • Deliver training to staff through face-to-face training sessions
  • Coordinate appraisal of employees at regular stages
  • Ensure agency policies and procedures and industry standards and regulations are followed
  • Take charge of the recruitment process, from interview, through to training

Payroll Duties:

  • Ensure all employee timesheets are collated and prepared for payroll
  • Process confirmations using business manager

Essential Skills

  • You must have care experience
  • You must be a driver for this role
  • It is imperative you are a people's person, as you will be dealing with staff and clients on a daily basis
  • You must be prepared to help out with on-call, care in the community, and generally helping out within the team

Desirable Skills

Care qualifications are not a requirement, but hold you in good stead.
